Move In/Move Out Process

Our professional staff will work with you when you first move in. We will walk through the property with you, taking pictures and testing systems to make sure that everything is working as expected. We will also explain how to submit work orders and what is expected during semi annual inspections as well as the move out process.

When you are ready to move out of a Cox Real Estate managed rental house there are several items to take note of.
First, we require a 30-day written notice of the exact date that you will be vacating the property. This notice can be mailed to us, sent as a text message, or submitted via the Tenant Portal. As a courtesy after you give us notice we also ask that you call us so we can discuss and review this move out process.
Second, if you are moving out mid month we do require you to pay for the entire month. If you are not in a lease and you follow all the provisions of the move out we will prorate your rent and refund the difference.
Third, you will need to return the unit in the same condition you rented it in (reasonable wear and tear is understood). This means that you patch and touch up paint any holes, you have cleaned the unit (including washing down walls, cleaning windows, removing all personal belongings, cleaning the fridge, vacuuming and sweeping), changed air filter(s), replaced smoke alarm batteries and have had the carpets professionally cleaned.
Fourth, you must leave utilities on in your name for at least 4-days after your last day in the unit. This is to allow time for the utility departments to get a final reading from you and then to switch them into the name of the owner, or new tenant.
Fifth, we will schedule a move out inspection where we will go through the unit with you, taking pictures and testing equipment. These will be compared with the pictures taken during the move in inspection.

If a single roommate is moving out and the rest of the roommates are staying the process is a little different.
The leaving roommate needs to contact us via text and let us know they are moving out. We will schedule a phone call to discuss why.
We will need each of the remaining roommates to sign a “Roommate Swap Addendum” which authorizes us to release the leaving roommate from the lease. The leaving roommate also releases any and all claim to the security deposit and assigns it to a the remaining roommates. (this same form is used if a new roommate is added to the lease). We will do a quick inspection of the unit as part of the signing of this roommate swap addendum.
